Information We Collect
- Account information, including name, email address, login status, tenant membership, user role, permissions, and authentication events.
- Business workspace information, including tenant profile, users, roles, chatbot settings, CRM/ERP records, inventory, invoicing, operational workflows, and internal configuration.
- Chatbot configuration, including chatbot profiles, personalities, policies, safety rules, knowledge sources, documents, chunks, templates, tools, flows, routing rules, runtime settings, and trial results.
- Customer communication data, including sender identifiers, phone numbers, message text, timestamps, attachments or media metadata where applicable, delivery events, status events, support handoff notes, and conversation history.
- Platform integration data, including WhatsApp Business Account IDs, phone number IDs, Facebook Page IDs, Instagram account IDs, Meta app authorization results, webhook events, provider account identifiers, and encrypted access credentials.
- Operational and diagnostic data, including API logs, webhook processing status, prompt runs, delivery status, error diagnostics, audit records, and usage counters.
How We Use Information
- To create, authenticate, secure, and operate AtomComment user accounts and tenant workspaces.
- To provide chatbot automation, CRM/ERP tools, customer messaging, WhatsApp integration, support operations, and back-office automation services.
- To connect business messaging channels through Meta and WhatsApp Business Platform features, including Meta Embedded Signup where available.
- To send, receive, route, display, and store customer messages, delivery events, webhook events, support handoffs, and chatbot responses.
- To generate chatbot responses, run configured flows, retrieve approved knowledge content, apply safety policies, and escalate conversations to human support when needed.
- To monitor service reliability, prevent abuse, troubleshoot API and webhook issues, improve product quality, and maintain audit records.
- To comply with applicable law, security requirements, platform rules, provider policies, and business obligations.
WhatsApp and Meta Platform Data
When a business user connects a WhatsApp number, Facebook Page, Instagram professional account, or related Meta asset to AtomComment, the software may store the identifiers and encrypted credentials needed to operate the connected account. This may include WhatsApp Business Account IDs, phone number IDs, business identifiers, page or account identifiers, webhook events, authorization results, and delivery status data.
AtomComment uses this data only as reasonably needed to provide the connected messaging, chatbot, support, and automation services requested by the business user. We do not sell Meta, WhatsApp, customer, or platform integration data.
WhatsApp Messaging, Consent, and Opt-Out
Business users are responsible for obtaining required customer opt-in before contacting people through WhatsApp or other messaging channels. Business users must honor opt-out, unsubscribe, stop, block, and other discontinuation requests. AtomComment provides software tools for messaging and automation, but each business user remains responsible for complying with Meta, WhatsApp, and applicable communication laws.
How We Share Information
We do not sell personal information. We may share information only as needed to operate AtomComment and provide the requested service.
- With messaging and platform providers such as Meta or WhatsApp when required to send, receive, or manage business messages.
- With infrastructure providers used for hosting, databases, authentication, email, logging, storage, and security.
- With AI or automation service providers only as needed to generate configured chatbot responses, summaries, classifications, or other requested software functions.
- With authorized tenant users, admins, managers, or support agents according to the tenant's role and permission settings.
- When required for legal compliance, security, abuse prevention, dispute resolution, or protection of rights.
Security
AtomComment is designed with authenticated access, tenant boundaries, role-based permissions, encrypted platform credentials, operational logging, and administrative controls. No online service can be guaranteed completely secure, but we use technical and organizational measures intended to protect accounts, platform credentials, customer communication data, and business workspace data.
Data Retention
We retain information while needed to provide AtomComment, maintain business records, support security and abuse prevention, comply with law and platform obligations, resolve disputes, and operate backups. Retention periods may vary depending on the data type, tenant configuration, legal requirements, and operational need.
Data Deletion and Disconnection
Users and authorized business representatives may request deletion of account, tenant, chatbot, CRM/ERP, customer communication, or platform integration data by following the instructions on the AtomComment Data Deletion page or by emailing support@atomcomment.com. Connected Meta or WhatsApp accounts may also be disconnected from the workspace where supported.
International Processing
AtomComment is operated from Malaysia and may use service providers or infrastructure in other countries. By using the software, business users understand that data may be processed where our providers, systems, or platform integrations operate.
